CALGARY DEPOT - NOTES FROM SUPERVISOR CONVERSATIONS
Fictional lab material for the MS-4004 Copilot exercises.
Collected 8-19 April 2026 by the Prairie regional coordinator.
Raw notes. Not a procedure. Not for distribution.

------------------------------------------------------------------
MONDAY 8 APRIL - morning shift, spoke to Christie
------------------------------------------------------------------
Tailwind truck came in 17:10 again. Christie says that is normal now,
maybe three days in five. Cut-off is 16:30.

When it is late, what happens depends on who is on the dock.
Christie holds it and works it next morning. Says that is the rule.

Diego on afternoons takes anything up to 17:30 and works it the
same night if the line is quiet. Says nobody told him not to.

So the same drop gets two different answers depending on the
shift. That is probably most of our problem right there.

Nobody is recording the arrival time anywhere. Christie writes it on
the whiteboard and it gets wiped.

------------------------------------------------------------------
WEDNESDAY 10 APRIL - after the freezing rain
------------------------------------------------------------------
Two days of closures on Deerfoot. 168 exceptions that week which
is the worst since December.

Diego says the customer called twice asking why. Nobody had an
answer for them because we do not have anything written down
about what we do in weather.

------------------------------------------------------------------
FRIDAY 12 APRIL - afternoon shift, Diego
------------------------------------------------------------------
Asked him about the 17:30 thing. He says if he turns work away
the customer complains, and if he takes it and it misses, the
customer complains. He would rather take it.

Says he has raised this before with the previous coordinator and
nothing came back.

His view: tell us the rule and we will follow it. Right now there
is no rule, there is a cut-off and then there is what people do.

------------------------------------------------------------------
MONDAY 15 APRIL - Grady
------------------------------------------------------------------
Grady wants the rule written down before the next peak. He also
wants it short. Says the last SOP that came out of region was
eleven pages and nobody read past the first one.

He asked me to keep Adele's name out of anything that goes to the
floor. She has been off since 2 April and it is a medical matter.
Her absence is why afternoons have been thin, but that is not the
floor's business and he does not want it in a document.

Also asked me not to write down what he said about Diego's
judgement. Fair enough. Noted here only so I remember to leave it
out.

------------------------------------------------------------------
THURSDAY 18 APRIL - what a procedure needs to answer
------------------------------------------------------------------
From the three conversations, the questions people actually ask:

  - What time is the cut-off, exactly.
  - What do I do with a drop that arrives after it.
  - Who do I tell.
  - Does it get recorded, and where.
  - What do I tell the driver.
  - What do I tell the customer if they call.
  - When does it stop being my decision.

Nobody could answer more than two of these consistently.

------------------------------------------------------------------
FRIDAY 19 APRIL - open items
------------------------------------------------------------------
- Induction time needs to be recorded somewhere that is not a
whiteboard. Grady suggested the dock tablet.
- Region has not confirmed whether we can refuse a late drop.
Diego is right that this is the actual question.
- Weather procedure does not exist. Separate problem, same gap.
